Onboarding

How does the onboarding process work?

After a successful interview process and approval from the customer and candidate, the employee receives an onboarding email with the most important information from our HR manager.

The contract is signed digitally using the YouSign tool. By signing with Qualified Electronic Signature (QES), we guarantee a legally compliant and high standard when signing contracts.

What documents are required?

In addition to the signed employment contract, the following documents are required for successful onboarding:

  • Signed employment contract
  • Excerpt from the criminal and debt collection register
How is the contract signed?

The contract is made available for electronic signature via YouSign. Both the employee and Alpinum Solutions sign the contract digitally. After countersigning, the legally valid contract can be downloaded.

Who is my contact during onboarding?

Our HR manager is responsible for all questions relating to employment (administration, payroll payments, insurance).adminde@alpinumsolutions.com.

The Talent Managers at Alpinum Solutions are responsible for all other questions regarding the project and the process.

e. Start of the project

After successful signing of the contract and before the actual start of the assignment, the Talent Managers will contact you regarding the first working day.

You will receive all relevant information directly from us for a smooth process.

Employment contract

How long is the employment contract valid and how is the extension regulated?

The contract is limited in time. The duration of the contract is defined in the contract. An extension takes place with a new contract, which in turn must be signed in YouSign. The extension always starts from the start date and is extended backwards.

What is the employment relationship during the project assignment?

The contract is between the rental company and the employee. There is no employment relationship with the end customer.

A temporary employment contract for the employee is concluded between the customer and Alpinum Solutions.

The customer is authorized to issue instructions to the employee and the employee must perform his work for the customer.

The employee is integrated like an internal employee of the company, with the difference that he works there for a limited period of time.

How many vacation days am I entitled to?

Our employees are entitled to 25 vacation days per year. For project assignments under 12 months, the number of vacation days is calculated per rata. The vacation entitlement is shown in Hakuna. The holiday entitlement at Hakuna is only ever until the end of the year. The new claim, including the transfer of the vacation balance to the next year, is automatic. The new claim per year is calculated per rata. The vacation days are to be taken during each mandate. The employer is obliged to ensure that the vacation is taken and that the employee can recover.

Salary, insurance and retirement benefits

How is my salary calculated?

The basic wage includes the 13th month's salary, with an additional holiday allowance and public holidays.

Please refer to your individual employment contract for the exact calculation.

When will I receive my monthly paycheck?

No later than the 5th of the following month

Where can I find my payslip?

The payslip is password protected. The password is in the email with the payslip received.

After successful registration, the payslip will be made available to you digitally directly via the DATEV tool.

What deductions are made from wages?


The statutory provisions apply to social security deductions (pension insurance, unemployment insurance, etc.).

How is overtime regulated?

Overtime is generally not allowed, according to the employment contract. However, should overtime be frequently worked, a solution must be found with the end customer or contact Alpinum Solutions AG.

A working time account is set up to compensate for the monthly discrepancies between the employee's agreed, individual regular working time and the actual working time. Plus and minus hours can be set in the working time account.

Will I be reimbursed for expenses?

No, in principle, no expenses are reimbursed unless requested and approved by the customer.

Expenses (travel or accommodation costs) can then be submitted to the agreed extent. For this, we absolutely need proof of travel or accommodation expenses.

Can I make voluntary contributions?

It may be possible to buy additional money from the pension fund. The employee must clarify this independently with tellco. Additional payments via Alpinum Solutions AG are not possible.

General information

What public holidays apply to Alpinum Solutions employees?

Zurich's public holidays apply.

The contractually agreed, lump sum working time must be entered. Please also check the instructions, which are included as a link in the onboarding email.

How do I sign out for vacations or other absences?

All absences must be agreed with the customer in advance. Then report the absence report via Hakuna under Absences.

Membership in the pension fund can replace compulsory statutory pension insurance (§ 6 SGB VI).

An exemption from the German Pension Insurance makes it possible to reduce or avoid contributions to the statutory pension insurance scheme.

Otherwise, you would be able to reduce your contribution to the pension fund to the minimum contribution for the duration of the project.

What do I have to do if I get sick?

In case of illness, I must report sick immediately to the end customer. At Alpinum Solutions, report the disease in Hakuna under absences. If an illness lasts longer than 2 days, a doctor's certificate must be presented. Please send this by e-mail to

Vacations and other absences

What happens when my bet ends?

The employment contract ends at the end of the project assignment. If there is no extension of the project, the assignment and thus the employment with Alpinum Solutions will end. holidays

These holidays are fixed in “Hakuna.”

Should public holidays in the federal state in which you work differ from your place of residence, the so-called “territorial principle” applies with regard to the Working Hours Act. This means that public holidays at the place of work where they are used must be taken into account. For example: 6.1. (Three Kings) is a public holiday in Bavaria, but not in NRW; you can work on this day in NRW, but not in Bavaria. This applies regardless of where the company is based.

Offboarding email

All absences must be agreed with the customer as a matter of priority. The absence report is then entered via “Hakuna” under Absence.

Will I receive a work reference?

Yes, every employee receives a working certificate from Alpinum Solutions at the end of the assignment. adminde@alpinumsolutions.com senden bzw. beim Arzt als Empfängeradresse angeben.

What happens with outstanding vacation entitlements?

Offboarding

a. What happens when my assignment ends?

The employment contract regularly ends at the agreed end of the project assignment. If there is no extension of the project, the employment with Alpinum Solutions will end.

Each employee then receives an offboarding email.

Please let us know in advance if you are interested in a follow-up project.

b. Will I receive a work reference?

Yes, every employee receives a work reference from Alpinum Solutions at the end of the assignment.

c. What happens with outstanding vacation entitlements?

Outstanding vacation claims are paid out with the last paycheck.

d. What do I have to do in case of an accident?

In the event of an accident, it is important to contact Alpinum Solutions as soon as possible. Please report an accident immediately adminde@alpinumsolutions.com.
