Onboarding

How does the onboarding process work?

After a successful interview process and approval from the customer and candidate, the employee receives an onboarding email with the most important information from our HR manager.

The contract is signed digitally using the YouSign tool. Signing with a qualified electronic signature ensures a legally compliant and high standard when signing contracts.

What documents are required?

In addition to the signed employment contract, the following documents are required for successful onboarding:

  • Signed employment contract
  • Excerpt from the criminal and debt collection register
  • Completed personnel questionnaire
  • Passport copy (residence permit, if applicable)
How is the contract signed?

The contract is made available for electronic signature via YouSign. Both the employee and Alpinum Solutions sign the contract digitally. After countersigning, the legally valid contract can be downloaded.

Who is my contact during onboarding?

Our HR manager is responsible for all questions relating to employment (administration, payroll payments, insurance).
The Talent Managers at Alpinum are responsible for all other questions regarding the project and the process.

Employment contract

How long is the employment contract valid and how is the extension regulated?

The contract is limited in time. The duration of the contract is defined in the contract. An extension takes place with a new contract, which in turn must be signed in YouSign. The extension always starts from the start date and is extended backwards.

What is the employment relationship during the project assignment?

The contract is between the rental company and the employee. There is no employment relationship with the end customer.

How many vacation days am I entitled to?

Our employees are entitled to 25 vacation days per year. For project assignments under 12 months, the number of vacation days is calculated per rata. The vacation entitlement is shown in Hakuna. The holiday entitlement at Hakuna is only ever until the end of the year. The new claim, including the transfer of the vacation balance to the next year, is automatic. The new claim per year is calculated per rata. The vacation days are to be taken during each mandate. The employer is obliged to ensure that the vacation is taken and that the employee can recover.

Salary, insurance and retirement benefits

How is my salary calculated?

The basic wage includes the 13th month's salary, with an additional holiday allowance and public holidays.

Vacations and public holidays are part of the salary and are paid out continuously for every day worked. See individual employment contract. This means that there is no payment of wages during a vacation or public holiday, as these are already paid in advance or back, with every working day.

When will I receive my monthly paycheck?

No later than the 5th of the following month

Where can I find my payslip?

The payslip is password protected. The password is in the email with the payslip received.

What deductions are made from wages?

The statutory provisions apply to social security deductions. There are social security deductions from AHV, IV, EO and ALV. In addition, health and non-occupational accident insurance deductions and the BVG deduction are added. The BVG deduction is variable, depending on hours worked and is recalculated monthly.

Depending on residence permit and marital status, direct deductions for withholding tax are added.

How is overtime regulated?

Overtime is generally not allowed, according to the employment contract. However, should overtime be frequently worked, a solution must be found with the end customer or contact Alpinum Solutions AG.

Will I be reimbursed for expenses?

No, in principle, no expenses are reimbursed unless requested and approved by the customer.

Insurances
Do I have daily sickness allowance insurance?

The employee is insured against loss of income for a maximum of 720 days within a period of 900 days. The insurance company is Allianz Suisse Versicherungs-Gesellschaft AG. In the event of illness, the employee is entitled to sickness benefit in the amount of 80% of the insured payroll, but only after a waiting period of three or two working days. This means that sickness benefits are paid from the third or fourth working day. The difference in the waiting period is related to whether the contractually agreed paysum is subject to CLA Swiss Staffing or not. The details can be found in the individual employment contract.

Accident insurance (SUVA)

The employee is covered by Alpinum Solutions occupational and non-occupational accident insurance. The daily allowance claim starts from the third day after the accident, in the amount of 80% of the insured payroll, until the insured person is fully able to work again or until the start of claims for a disability pension. In the event of partial incapacity to work, the daily allowance will be adjusted accordingly.

SWICA

There is also UVG supplementary insurance for excess pay, which exceeds the statutory insured annual income of 148,200.00 CHF.

And medical expenses insurance for the private hospital ward.

Provision
Which pension fund am I insured with?

The pension fund of Alpinum Solutions employees is tellco pk. The coordinated payroll is insured. From the age of 25, in addition to the risk premium, there is also a savings premium. The exact pension plan can be submitted upon request. Tellco is only aware of this entry after the first payroll report has been submitted. That means only in the second week of the following month, after the first payment of salary.

The pension fund is only aware of the withdrawal after the last paysum has been transferred.

How are vested benefits transferred to tellco?

Can I make voluntary contributions?

It may be possible to buy additional money from the pension fund. The employee must clarify this independently with tellco. Additional payments via Alpinum Solutions AG are not possible.

General information

What public holidays apply to Alpinum Solutions employees?

Zurich's public holidays apply.

These holidays are firmly embedded in Hakuna.

If an employee works for a customer in another canton, Zurich's public holidays still apply. On non-cantonal public holidays in Zurich, you can therefore take vacation or free on these days.

How do I sign out for vacations or other absences?

All absences must be agreed with the customer in advance. Then report the absence report via Hakuna under Absences.

What do I have to do if I get sick?

In case of illness, I must report sick immediately to the end customer. At Alpinum Solutions, report the disease in Hakuna under absences. If an illness lasts longer than 2 days, a doctor's certificate must be presented. Please send this by e-mail to adminch@alpinumsolutions.com

What do I have to do in case of an accident?

In the event of an accident, it is important to contact Alpinum Solutions as soon as possible (adminch@alpinumsolutions.com). An accident form will be sent, which is required to report the accident to SUVA. Please answer all questions in the form and return it in full to Alpinum Solutions. In the event of a normal accident, a doctor's certificate is also required. You will then receive the case number and a pharmacy certificate.

Which documents are required in case of illness (e.g. doctor's certificate)?

If employees are ill, a doctor's certificate is issued from the 3rd day of illness.

How is time recording done?

Time recording is carried out using Hakuna, the time recording system from Alpinum Solutions, even though the customer's working hours must also be recorded in additional software.

The contractually agreed lump sum of working time must be reported. Please also see the manual, which is included as a link in the onboarding email.

How do I get the interim earnings report?

If the questionnaire states that a monthly interim earnings form is required, this is completed monthly after payment of salary payment by Alpinum Solutions and sent to the employee. There is no need for reminders.

Offboarding

What happens when my bet ends?

The employment contract ends at the end of the project assignment. If there is no extension of the project, the assignment and thus the employment with Alpinum Solutions will end.

Offboarding email

Each employee receives an offboarding email, which also serves as a letter of termination in the event of an early termination of the mandate. It contains all necessary information after leaving, such as accident and daily sickness benefit insurance after withdrawal. In addition, a work confirmation or a reference certificate is sent, as well as the transfer form for pension fund funds.

Will I receive a work reference?

Yes, every employee receives a working certificate from Alpinum Solutions at the end of the assignment.

What happens with outstanding vacation entitlements?

Outstanding vacation claims are paid out in the last paycheck.
